Arts Festival Volunteers

The Summer Arts Festival would not be possible without the help of our volunteers. Over 150 Arts Center supporters rally each year acting as gate greeters, booth sitters, Youth Zone assistants and all-around helpers as our three-day festivities take over the grounds and facility.

Festival Set-Up & Take-Down Crew

Details: This is for Volunteers who can commit to a few days of work the week before the festival, and the day after festival. This crew requires heavy lifting, and multiple hours of work but UVA Staff will provide cold water, snacks, and delicious lunch to keep everyone hydrated and fueled. See below about the different positions available in this crew:

Set-Up: Volunteers will help put up fencing, set up barricades, set up tables/chairs and shade cloths, put up signage and assist with other setup tasks. The shade cloth is assembled the week before the festival, and all other grounds work is done the week of the festival. We ask that you be available for the entire set up, as this time is vital to the entire festival, but we are grateful for any time you can provide

Take-Down: Volunteers who helped with Set-up are also encouraged to help with the Take-Down crew on Sunday/Monday because you will have experience with the steps and details! Bringing a friend along is encouraged. We will provide water, snacks, and lunch for the enjoy lunch together each day at noon.

Art Vendor Support Crew

Details: Many Art Vendors operate solo during the three-day event and manage their booths without the support of family/friends. To make the event pleasant for all, we provide support through our Art Vendor Support Crew. Volunteers on this crew support our Art Vendors through three different positions: Set-Up, Tear-Down, and Booth Sitters. Read below to learn more about the positions on this crew: 

Set-Up & Tear-Down: These positions help assist artists in transporting supplies to/from their vehicles to their booth space for the event. Volunteers will be available at the Vendor-Check-In and on the grounds to offer support. Some lifting and careful handling is necessary for this position, so volunteers must be able to lift and carry some weight so it begins!

Booth Sitters: Volunteers in this position provide relief to Art Vendors so that they can take a break during the event for food, water, and other necessities. When booth sitting, you will monitor the booth to ensure artwork and other items are safe, let customers know the vendor will be back shortly, but do not process payment for vendors. 

Gate Crew

Details: This crew contains one position, and that position is integral to day-to-day operations of the festival. The Gate Crew welcome visitors to the festival along with other tasks such as collecting entrance fees, monitor stamping for new and returning visitors, letting visitors know about festival policy (i.e. no pets, no smoking), and keeping UVA Staff updated with any issues or noteworthy items near the gates. 

Parking Monitor Crew

Details: This crew also only has one position, and it is integral to our day-to-day operations. Parking in our Western parking lot (next to the Food Court and along the Roseburg National Cemetery) is limited and requires monitoring to ensure visitors know where/how to park and no thruways are blocked. Safety vests, a canopy, chairs, and water are provided to volunteers on this crew to ensure the volunteer’s comfort. 

Food Court Crew

Must be 21 or older
Details: 
The Food Court is one of the most active ares of the Summer Arts Festival and includes alcoholic offerings for visitors 21+, non-alcoholic beverages for all, and different foods to enjoy while watching live music. With the presence of alcohol in the food court, UVA is required to comply wiht OLCC guidelines. Volunteers on the Food Court Crew will help assist with this through two different positions:

Alcohol Monitors: This position are posted at two of the Food Court exits that open to the festival, and their main task is to ensure that visitors do not leave the Food Court with alcohol. Other tasks include wiping down tables and alternating clean-up with other alcohol monitors (once per shift) and reporting individuals who might be acting belligerent and/or not following festival rules to the Food Court Monitor on duty and/or UVA Staff.

Food Court Monitors (Alcohol Service Permit Required)This is an integral position in the Food Court, and helps provide additional compliance/support for ensuring OLCC guidelines are being followed. Tasks for this position include ensuring servers are following OLCC guidelines, ensuring festival rules are followed by both vendors and visitors, report individuals acting belligerent and/or not following rules to UVA Staff, help wipe tables with other Alcohol Monitors, and support Alcohol Monitors. 

Building Monitor Crew

Details: Our main building is open to the public from 10am-8pm on Friday & Saturday and 10am-4pm on Sunday during the festival. This is so visitors can view the art we have on display, visit our Gift Shop, and see select vendors who are set-up in the building. With only one UVA Staff member dedicated to our building and the rest in other areas of the event, volunteers on this crew help ensure the artwork and hour history building stay safe by actively roaming our lovely building and supervising the galleries and artworks, reporting messes, hazardous things, and anything out of the ordinary to UVA Staff, letting visitors know not to touch the artwork, and directing guests to the porta potties located in the handicapped parking lot of the festival (our indoor restrooms are closed to the public due to the age of our pipes). 

Youth Zone Crew

Details: The Youth Zone Crew supports the area of our event that is dedicated to providing young artists with different art opportunities and experiences at the event. Volunteers in this crew will assist with welcoming families and youth to the Youth Zone, explaining the art project presented to the young artists and assisting them where needed, communicating to parents that their presence is required for youth to participate, ensure supplies stay stocked by notifying UVA Staff when they get low, and monitoring the young artists to ensure all materials are being used safely and they are safe in the booth. 

SOME NOTE ABOUT VOLUNTEERING:

  • There is no festival parking reserved for volunteers.
  • With the exception of the Set-Up & Take-Down Crew, all shifts are 2 hours long with an overlap of 15 minutes to ensure proper coverage when volunteers change over. 
  • Volunteers who commit to one shift get into the Summer Arts Festival for FREE. Volunteers who commit to two or more shifts receive a FREE Summer Arts Festival T-Shirt!
  • Please check in to your first shift 15 minutes early (at The Clay Place)
  • We suggest all Volunteers bring a Water bottle to stay hydrated, as well as Sun Screen or other protective gear to protect you from the sun.
  • We encourage you to volunteer with a friend because most of our positions are for two to four people. Sharing experiences is so valuable, and fun!
  • While we try to include volunteers of all ages at our festival, we ask that anyone under the age of 13 be accompanied and supervised by an adult. Alcohol Monitors must be 21 or older.
